A sample bid, straight from the engine

Three prices for a 4,200 sq ft dental office in Columbus, Ohio.

Six restroom fixtures, median local janitor wage of $17.94 an hour, everything else left on the suggestions. The slower dental production rate (1,800 sq ft per hour) is what separates this from an office bid. Price it at office speed and you leave hours out of the bid.

  • Loaded labor cost comes out at $20.83 per hour once payroll taxes and workers' comp are added.
  • Clients choose which option, not whether to hire you. Lead with Standard.
  • The warning on Premium is on purpose: five visits a week in a small dental office lands above the typical monthly band. The engine tells you to be ready to justify daily service.

Dental office · 4,200 sq ft · 6 fixtures · Columbus, OH

Essential$8902 visits/week · $102.69 per visit
Lead with Standard$1,4053 visits/week + 2 detail h/mo · $108.08 per visit
Premium$2,3655 visits/week + 4 detail h/mo · above the band
  • Labor hours / month40.6
  • Direct cost / month$913
  • Profit / month$211 15.1%
  • Billing rate$34.63/h

Why $1,405: $913 direct cost ÷ (1 − 20% overhead − 15% profit target), rounded up to the next $5. Labor is 60% of the price. Initial deep clean before service starts: $155.

  • Standard passes all five checks: profit, billing rate, price per visit, monthly band, inputs.

How it works

Walk it. Price it. Send it.

Most small cleaning companies bid from a per-square-foot number someone posted online, then find out six months in that the account barely covers payroll. The system prices every bid from what a cleaner actually costs you in your area, so the profit is built in before you write the proposal.

1

Walk the building with the checklist

The walkthrough set gives you the checklist, the questions to ask the facility manager and a measurement sheet, so you leave with the square feet, restroom fixtures and the details that change the price.

2

Price it from your real labor cost

Pick your area and facility type. The engine fills in the local janitor wage, payroll taxes and your state's unemployment rate, then shows labor hours, loaded cost and three monthly prices. Type your own number over any suggestion.

Send three options, not one price

Copy the prices and the matching scope into one of three proposal designs, add your logo, and send. Clients choose which option, not whether to hire you.

Built-in checks

It warns you before you send a bad number.

Every option is checked against your profit floor, your minimum billing rate, your minimum price per visit and the usual monthly price band per square foot. If a number looks dangerously low, or high enough that a client will push back, the engine says so before the proposal leaves your desk.

  • Profit at or above your floor
  • Billing rate at or above your minimum
  • Price per visit at or above your minimum
  • Monthly price per square foot inside the expected band
  • Wage at or above your state minimum wage

The workbook and the online calculator run the same checks, line for line.

Questions

Before you buy

Is this software or a subscription?

No subscription. It is a workbook and templates you download and keep, plus the online calculator. Your license key removes the calculator's preview limit, and there is nothing to renew.

I've never bid a commercial account. Is this for me?

Yes. Start with the Quick Start and the worked office example. The walkthrough checklist tells you what to count, and the Bid Engine suggests every number you do not know yet.

What do I need to use it?

Excel 2016 or later, or Google Sheets, for the workbook. Microsoft Word for the templates. The Word files also open in Google Docs, but the proposal designs lose their page breaks there, so Word is the better choice for proposals. Every document also comes as a PDF.

Does it work in Google Sheets?

Tested and yes. Every displayed value, drop-down, warning color and number check matched Excel. Sheets does not lock formula cells for the file owner, so type only in the yellow cells. The Sheets phone apps were not tested.

How does the online calculator license work?

Your Gumroad receipt includes a license key. Enter it once at tools.mouen.site/activate and that browser has unlimited use for 30 days at a time, renewed automatically while you use it. One key works on up to 5 browsers or devices. Out of activations? Reply to your receipt and we reset it.

Where do the wage numbers come from, and are they updated?

Janitor and cleaner wages come from the U.S. Bureau of Labor Statistics Occupational Employment and Wage Statistics survey, May 2025 release, for 585 metro, nonmetro and state areas. State minimum wages are from the U.S. Department of Labor as of July 2026, and unemployment-tax rates are 2026 new-employer rates. Wages and tax rates change every year; buyers of this edition get the refreshed workbook by email from Gumroad.

I'm outside the United States. Will it work?

The engine works anywhere once you type in your own wage, payroll costs and currency amounts. The pre-loaded wage, minimum-wage and unemployment-tax tables are U.S. only.

What is the refund policy?

14 days from purchase. If the kit doesn't help you build a bid, reply to your Gumroad receipt email within 14 days and you get a refund. A refund also deactivates the online calculator license.
